This guide provides guidance on creating an account and depositing research data in UNBC's Borealis Data Repository

UNBC Borealis Data Repository Documentation and User Agreement

Researchers must read and sign a user agreement to be granted access to data deposit in Borealis. All current documentation can be found below:

Submit your signed User Agreement using this link and attaching the signed form to the email.

Creating an Account

To get started using Borealis, create an account on the Borealis login page. Select UNBC from the institution drop-down menu, and sign in using your UNBC credentials. Once you have created your account, contact Data Services Librarian Susie Wilson with your completed UNBC Borealis User Agreement to have permissions added to your account to allow you to deposit your data.

Depositing Your Data

The UNBC Borealis Data Repository is designed to support UNBC-affiliated researchers in supporting open science through data sharing, and meeting publication and granting agency requirements for data sharing. To support researchers in maintaining control over deposited data, this repository supports publication embargoes, custom licenses and terms of service, and file-level access permissions for all deposited data.

To deposit data:

  1. Prepare your files for deposit, using the Data Deposit Checklist and the Preparing Your Data information in this guide.
  2. Upload your data deposit - UBC has a quick-start guide here.
  3. Complete the metadata for your deposit, using UNBC's Metadata Guide
  4. Place your data deposit in the review queue by clicking the Submit button. Your deposit will be reviewed within 5 working days to ensure compliance with UNBC's deposit guidelines. If necessary, you will receive feedback and guidance on any changes required.
  5. Your data will be published, including a unique DOI that will allow for easy citation of your data as a standalone research product.

Data uploaded to UNBC's Borealis Data Repository for sharing during article peer-review processes will remain unpublished. This means that only the depositor and anyone who the depositor shares an anonymous access link with will be able to access the data. Data deposited for sharing during peer-review will not receive additional review or curation. 

To upload a data deposit for anonymous sharing for peer-review:

  1. Set up your account following the "Creating your Account" steps above
  2. Upload your files. While no additional review of the data deposit will take place, it is important to make sure you include all information necessary for peer-reviewers accessing the files to make sense of the data in relation to your manuscript.
  3. In the metadata field for "Related Publication", put "data sharing for peer-review"
  4. Submit your data to the review queue 
  5. You will receive your link for anonymous data access within two working days.

Data deposited for sharing during peer-review can be converted to a regular, published deposit if appropriate. The depositor should edit their deposit, following current UNBC Borealis Data Repository Guidelines and re-submit the dataset to the publication review. At that point, the data will be reviewed in line with current UNBC Data Deposit standards.

Unpublished datasets will be reviewed on an annual basis, and data depositors will be contacted annually about any unpublished datasets to determine if they should be retained, removed, or converted a full deposit.
